4. Service Process
4.1 Quotation and Acceptance
All services begin with a consultation and written quotation. Services commence upon your written acceptance of our quote and payment of any required deposit.
4.2 Material Collection
We will collect your photographic materials using secure, insured transport. You will receive a detailed inventory of all items collected.
4.3 Processing
Materials will be processed according to agreed specifications. Processing times vary based on project scope and current workload.
4.4 Delivery
Completed work and original materials will be returned via secure delivery method. Digital files will be provided in agreed formats.
5. Client Responsibilities
You agree to:
- Provide accurate information about your requirements
- Ensure you have legal right to reproduce submitted materials
- Make timely payments according to agreed terms
- Inspect and approve sample work before full processing
- Collect completed work within 90 days of notification
- Backup digital files provided by us
6. Payment Terms
6.1 Pricing
All prices are quoted in British Pounds (GBP) and include VAT where applicable. Prices are valid for 30 days from quotation date.
6.2 Payment Schedule
Payment terms will be specified in your quotation. Typically:
- Small projects: Full payment due before commencement
- Large projects: 50% deposit, balance on completion
- Corporate accounts: Net 30 days payment terms available
6.3 Late Payment
Late payment charges of 1.5% per month may apply to overdue amounts. We reserve the right to suspend services for non-payment.
7. Intellectual Property
7.1 Client Materials
You retain all rights to your original photographic materials. By engaging our services, you grant us temporary licence to reproduce and process materials as necessary.
7.2 Our Work Product
Digital files created through our processing become your property upon full payment. We may retain copies for quality assurance and legal compliance purposes.
7.3 Portfolio Use
We may request permission to use before/after examples in our portfolio and marketing materials. Such use requires explicit written consent.
8. Quality Standards and Warranties
8.1 Quality Commitment
We commit to providing services with professional skill and care, using industry-standard equipment and techniques.
8.2 Warranty Period
We warrant our work for 12 months from delivery date. Defects in our workmanship will be corrected at no charge.
8.3 Limitation of Warranty
We cannot warrant results that exceed the quality or condition of original materials. Some damage or deterioration may be irreversible.
9. Limitation of Liability
9.1 Material Handling
While we exercise utmost care, we cannot be liable for pre-existing damage or deterioration of original materials. We recommend obtaining insurance for irreplaceable items.
9.2 Liability Cap
Our total liability for any claim shall not exceed the amount paid for the specific service in question.

We shall not be liable for indirect, consequential, or special damages including loss of profits or business interruption.
10. Insurance and Risk
We maintain professional indemnity and public liability insurance. Materials in our custody are covered by our insurance, subject to policy terms and limits. We recommend you maintain your own insurance for irreplaceable items.
11. Data Protection
We process personal data in accordance with UK GDPR and our Privacy Policy. By engaging our services, you consent to data processing as described in our Privacy Policy.
12. Cancellation and Refunds
12.1 Client Cancellation
You may cancel services before processing begins with written notice. Deposits may be retained to cover costs incurred.
12.2 Work in Progress
For partially completed work, charges will apply pro-rata for work completed plus any costs incurred.
12.3 Our Cancellation
We may cancel services if materials are found to be damaged beyond processing capability or if legal issues arise.
13. Force Majeure
Neither party shall be liable for delays or failures due to circumstances beyond reasonable control, including natural disasters, strikes, or government actions.
14. Dispute Resolution
14.1 Initial Resolution
We encourage direct communication to resolve any concerns. Contact us immediately if you have any issues with our services.
14.2 Mediation
Unresolved disputes may be referred to mediation through a recognised mediation service before legal proceedings.
14.3 Governing Law
These Terms are governed by English law, and any disputes will be subject to the exclusive jurisdiction of English courts.
15. Modifications
We may update these Terms periodically. Changes will be posted on our website and take effect 30 days after posting. Continued use of our services constitutes acceptance of modified Terms.
16. Severability
If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall continue in full force and effect.
